We have an excellent opportunity for a full time Meeting and Events Planner based in our Irvine, CA* office. The Meeting and Events Planner will report to the Events Manager, and is responsible for planning Meetings, Conferences and Special company events for In-N-Out Burger associates.

*This position is full-time, in-office only.

General Responsibilities

Plan and execute all Conferences, such as management, leadership and training conferences; Conference planning experience needed
Plan and execute Special events, such as galas, dinners and recognition events
Help with researching locations, negotiating contracts, selecting and coordinating vendors
Manage on-site event operations
Oversee event recruiting, hiring, and managing of on-site staff, event assistants, and the operations team for each regional location
Responsible for on-going communication with operations personnel regarding event date, location, and other logistics
Display a high degree of negotiating skills and diplomacy with vendors to meet company objectives
Manage a project from inception through completion
Proven ability to negotiate, plan and successfully manage a variety of events from small meetings to recognition programs of 600 people or more
Proven history of providing outstanding customer service while proactively troubleshooting/problem solving
Proven ability to work on multiple projects simultaneously while remaining organized, efficient and flexible

Work Schedule + Benefits

Full-time, Exempt
Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm
Department needs will call for occasional evenings and weekends
Travel time: It is anticipated that 10-15% of the work time will be spent in the field and will require overnight and weekend travel

Qualifications

A minimum of five (5) years of experience as an active meeting & event planner, with hands-on experience in all facets of meeting planning
Experience planning Conference and Workshops events, such as Leadership Training and Management Conferences
Experience planning corporate meetings
Extensive experience planning events for large groups of employees, ranging from 50-2,000 employees
Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events)
Bachelor’s degree in hospitality or hotel management, marketing, business, public relations, or relevant field is preferred, but not required; Significant work experience can substitute for a degree
Certificate in Meeting & Event Management preferred, but not required
Strong time management and interpersonal skills
Exceptional on-site event operation skills
Highly motivated self-starter and ability to work independently
Ability to analyze situations and make decisions with minimal oversight
Excellent written, verbal and phone communication skills; communication with all levels of management
Ability to work autonomously/independently, yet be an integral part of an overall team environment
Knowledge of Microsoft office software, including Word and Excel. Online registration systems experience a plus
Strong word processing and desktop publishing skills
