We have an excellent opportunity for a full time Administrative Assistant II based out of the Baldwin Park office. In this role, the individual will engage in a wide variety of duties, including but not limited to, arranging appointments, maintaining multiple calendars, compiling, verifying, and analyzing financial information, preparing data and graphs for senior management, verifying invoices, and other general administrative tasks.

General Responsibilities

Review incoming invoices for accuracy
Track cost of special projects and annual spending
Prepare reports, along with tables and graphs, for Operations
Maintain vehicle reports quarterly (reporting mileage and service costs)
Assist associates with setting up and billing projects correctly
Ensure vendors are properly set up in online portal
Run invoicing reports and follow up on open POs

Work Schedule + Benefits

Full-time position, Hourly (non-exempt)
Office hours: M-F, staring between 7:00 am and 8:00 am
Some weekend and holiday availability required

Job Requirements:

5+ years of analysis experience.
Excellent communication and organizational skills.
Proficiency in Outlook, Word, and Excel (formulas, pivot tables, graphs, and macros).
The ability to gather and organize complex and confidential information from several sources is also essential.
