The In-N-Out Burger Human Resources (HR) Team has an excellent opportunity for an Administrative Assistant II in our Irvine, CA office*. This position will report to the HR Department Head and will be responsible for supporting the administrative needs of the department including direct support of the department head. This person will be a team member of the HR Department, which includes Talent Acquisition, Benefits, Talent & Organizational Development, HR Systems, and HR Business Partner teams. 

*This role is a full-time, in office position. 

General Responsibilities
  • Responsible for administrative tasks and projects for the HR department, such as scheduling meetings, answering phones, handling requests, and managing correspondence
  • Help manage department calendars, plan meetings, and execute the day-to-day administration of the HR department
  • Assist the HR Department Head with special projects, including simple tasks, reporting, and larger project coordination, related to various HR programs, such as the engagement survey, Associate communication, HRIS reporting, etc. Projects will range from clerical to more complex administrative tasks.
  • Prepare meeting materials, including agendas, PowerPoint presentations and minutes
  • Coordinate department special events, such as parties and lunches
  • Develop strong working relationships throughout the company as an extension of the HR Department Head and HR department
  • Keep department and company information confidential with the highest degree of integrity
  • Collaborate with other departments or functions (Payroll, Operations, Marketing, etc.)
  • Be part of a team-oriented department and assist in other areas as needed
Work Schedule + Benefits

Full-time position, Non-Exempt, Hourly
Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm
Department needs may call for occasional overtime

Qualifications
  • Minimum of five (5) years of experience in a high level Administrative Assistant or Executive Assistant position; work experience in Human Resources is preferred
  • Must be a self-starter and demonstrate a high degree of accuracy and thoroughness
  • Passion in providing excellent administrative and clerical support to the department
  • Strong computer proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Asana a plus.
  • Excellent oral and written communication skills
  • Act as a trusted partner to management, displaying the highest levels of integrity and handling highly sensitive and confidential information 
  • Strong customer service skills and the ability to interact with all levels of internal and external customers in a positive and professional manner
  • Excellent time management skills, organized and the ability to prioritize work
  • Ability to work autonomously/independently under general supervision
